Practical guide on how and why to back up documents

Data loss usually doesn't come as a "big disaster," but as a series of small, common situations that you underestimate. You overwrite a document with a newer version with no way to go back. A colleague accidentally deletes a folder while cleaning up data. A file gets corrupted while saving or becomes unreadable after a system update. A drive starts to fail without warning — and the data can no longer be retrieved.

Document loss is not exceptional

Often it is not a dramatic moment, but a realization: “We no longer have that file.” And that is when it becomes clear whether a backup exists.

Cybersecurity incidents are a separate chapter. A ransomware attack today does not only mean an IT outage, but the direct unavailability of documents — contracts, invoices, HR agenda. Without a backup, you are dependent on an external solution or face data loss.

It is important that these situations do not happen only to “someone else” or to large companies with complex infrastructure. In practice, smaller companies, teams and individuals are more vulnerable:

  • they do not have clear document work processes in place
  • they rely on a single storage location (e.g. only a laptop or one cloud)
  • backup is manual — or does not exist at all

At the same time, however, they work with the same types of documents as large organizations: contracts, personal data, accounting, project materials. The difference is only in the level of protection. Not in the importance of the data.

Why back up documents

Backup is not a tool to avoid problems completely. It is a mechanism that determines what happens after an incident. Without a backup, you deal with a crisis situation. With a backup, you deal only with a short interruption of work.

In practice, it is about the ability to:

  • quickly restore documents
  • continue working without a significant outage
  • avoid losing critical information

The most common reasons for data loss are also very specific in nature:

Technical failure

Every storage system has its limits.

  • hard drives and SSDs have a limited lifespan
  • devices can be physically damaged or lost
  • cloud services are not immune to outages or synchronization errors

It is important to realize that “it has worked so far” is not a guarantee for the future.

Human error

The most common and at the same time the most underestimated factor.

  • unintentional deletion of a file or folder
  • overwriting the final version of a document with a working version
  • incorrect handling during transfer or sharing

Without a version or backup, these mistakes often cannot be undone.

Cyber threats

Attacks today are aimed directly at data availability.

  • ransomware encrypts documents and blocks access
  • an attacker can not only block data, but also delete it

If you do not have an up-to-date backup, you get into a situation where recovery is uncertain, lengthy or financially demanding.

From the company’s perspective, however, it is not only about the files themselves, but about the functioning of the entire organization.

Critical areas:

  • Contracts and legal documents
    Without them, you cannot prove obligations or claims.
  • HR agenda and personal data
    Loss may mean not only an operational problem, but also a breach of data protection.
  • Invoicing and accounting
    Missing documents complicate financial management as well as communication with authorities.
  • Project documentation
    Without it, projects stop or go several steps back.

The consequences of data loss are therefore multi-layered:

  • time losses (recreating documents)
  • financial impacts (delays, penalties, lost opportunities)
  • reputational risk (unreliability towards clients and partners)
  • legislative consequences (e.g. in the case of missing or unavailable records)

In this context, backup is not an IT add-on. It is a basic element of risk management and business continuity.

How to back up simply and correctly

Effective backup is not about the number of tools, but about correctly set principles. In practice, three things matter: redundancy (multiple copies), automation and the ability to restore.

Multiple copies (the 3-2-1 rule in practice)

Basic rule: one copy is not enough.

In practice, this means:

  • having at least 2–3 copies of data
  • storing them on different types of storage (e.g. cloud + local disk or server)
  • ideally having one copy physically separated from the work environment

Why this is important:

  • if one storage fails, you have another
  • if an attack occurs (e.g. ransomware), an offline or separated copy remains untouched
  • if a synchronization error occurs, all copies are not overwritten at once

Practical example:

You have a document in the work system, synchronized in the cloud and at the same time regularly backed up to an external drive or company server.

Automation

Manual backup works only in theory. In reality, people forget about it — especially when they have a lot of operational work.

That is why it is key to set up:

  • automatic synchronizations (e.g. folders that are continuously saved to the cloud)
  • scheduled backups (e.g. nightly backup of the entire folder or system)

Benefits:

  • you eliminate dependence on the human factor
  • backups run consistently
  • you minimize the risk that the latest version of a document will not be backed up

Important: automation must be set up consciously — you need to know what is being backed up, where and how often.

Regularity according to the type of work

Not all data has the same dynamics. Therefore, the backup frequency should reflect the reality of the work.

Recommendation:

  • active documents (contracts, files in progress)
    → back up daily or continuously
  • less frequently changed data (archives, closed projects)
    → back up weekly or monthly

The goal is simple:
in the event of data loss, lose at most a minimal period of work (ideally hours, not days).

Recovery test (an often overlooked step)

A backup that you cannot restore is only a false sense of security.

That is why it is necessary to regularly verify:

  • whether you can actually restore a specific document
  • whether the file is readable and complete after restoration
  • whether the recovery process is sufficiently fast and understandable

In practice, this means:

  • from time to time, try to restore a selected document
  • verify where the backups are located and who has access to them
  • have a clear procedure for what to do in the event of an incident

Companies often skip this step — until the moment they need a backup and find out that it does not work as expected.

Quick checklist

A short checklist will help you quickly identify weak points in backup. This is not about theory — but about a practical check of whether you would be able to respond in a real situation.

Do you have more than one copy of your documents?

One copy = no backup.
If you have documents stored in only one place (e.g. a laptop or one system), the risk of loss is high. The basis is to have at least one additional independent copy.

Are they stored in different places (not only in one system)?

What matters is not only how many copies you have, but where they are stored.
If all copies are in one environment (e.g. one cloud account), a failure or attack can affect all of them at once.

Does backup run automatically?

If you back up manually, you probably do not do it regularly.
Automation ensures that:

  • backups are created without your intervention
  • you do not forget new or modified documents
  • the process is consistent

Can you restore a specific document within a few minutes?

This is the key question. It is not enough to know that “a backup exists somewhere”.
Try to answer:

  • do you know where the backup is located?
  • do you have access to it?
  • can you use it quickly without technical complications?

If recovery takes hours or requires external help, backup is not set up effectively.

Do you also back up final, signed documents from OKdokument?

These are documents with the highest value — both legal and business.

If you answer “no” or “I don’t know” to any question, it means a specific risk:

  • the document may not be available when you need it

The goal of the checklist is not perfection, but certainty that your data is truly protected — not only “on paper”.

Backup is not a one-time setup that you “do once and you are done”. It is part of everyday work with documents — just like creating, editing or sharing them. If it is not a natural part of processes, sooner or later it will fail.

It is important to change the perspective:
it is not about whether a problem will happen, but when and in what form. It may be a small mistake or a serious incident — in both cases, however, preparedness is what matters.

The difference is fundamental:

  • without a backup, you deal with loss, improvise and look for a solution under pressure
  • with a backup, you restore data and continue working without significant interruption

Backup is therefore a matter of continuity — the ability to function even when something fails.

From a practical point of view, it is a very effective investment:

  • setting up a basic backup system takes minimal time
  • operation is automated and undemanding
  • costs are low compared to potential losses

By contrast, recovery of lost data means:

  • hours to days of extra work
  • financial costs (internal and external)
  • stress and pressure in communication with clients or partners

Ultimately, it is not only about data, but about certainty, control and peace of mind at work. A well-set backup ensures that even an unexpected problem will not stop you.
