How to sign an envelope? | How to

2026-01-23 How to

This guide will guide you step by step through the process of signing an envelope using a handwritten signature or a signature verified via SMS or e-mail. Signing takes place online, without the need for printing or a personal visit, and can be done from any device with internet access. In the instructions, you will learn how to open the envelope, go through the individual documents and safely complete the signing in the chosen method.

Handwritten Signature

Step 1 – Document Overview

On the envelope page, you will see a list of documents divided into two sections:

  • Required documents – must be signed or read in order to complete the envelope.
  • Optional documents – intended for reading only; they do not need to be opened or signed.

Required documents are displayed as tiles. Each tile contains the file name and icons for opening the document or showing its status.

To continue, click on the tile of the first required document.

Step 2 – Opening and Reviewing the Document

After clicking the tile, the document opens as a PDF.

Take time to read the document carefully – you can use the scrollbar on the right side to navigate through the pages.

Step 3 – Adding a Signature

Click anywhere in the document. A “Handwritten Signature” window will appear with an empty rectangle where you can draw your signature.

If there is a predefined signature field, click directly into that field.

Draw your signature using a mouse or your finger (on a touch device):

Hold down the mouse button and “draw” your signature.

When you are satisfied with the result, click the “Insert signature” button.

The dialog will close and the signature will be automatically placed in the document. The signed document will be saved with the status “Signed”.

Step 4 – Repeating the Signing Process (if there are multiple documents)

Return to the list of documents within the envelope.

If the envelope contains multiple required documents, proceed in the same way: open the next document, read it, find the marked signature field, and sign.

Optional documents can be opened and read; signing is not required. After reading, you can close them.

Step 5 – Finalizing the Envelope

Once all required documents are signed, a “Complete” button will appear at the end of the list.

Check the status of each document one more time – signed documents will display the status “Signed” or a green icon.

Click “Complete” to finish the signing process for the envelope.

The system may notify you of successful completion – the envelope will be closed and all parties will receive a notification or a copy of the signed documents. You can download them from the envelope detail or from the email notification.

Recommendations and Tips

  • Read all documents carefully – by signing, you confirm their content.
  • If anything is unclear, consult the document author before signing.
  • If you interrupt the process, you can return to the envelope at any time via the envelope list.
